How to Host a Webinar That WOWS!

Before Your Webinar

USGS WebEx® Host Accounts

  • First, request a Host Account from
    • Select Host a Meeting
    • Select the Sign Up button under “I do not have an account.”
  • If your office doesn’t have an existing phone bridge, request one from the IT Help Desk at 703-648-4357.

Download the Plug-Ins

  • Login to USGS WebEx®:
    • From the “Meeting Center Tab,” at the top, select Set Up to the left of the screen.
    • Select the Meeting Center green button, then select Set Up and follow the directions.
  • Do the same as above from the “Training Center Tab” to set up the Training Manager application on your laptop.
  • Download the Productivity Tools for your operating system. (Found under Support -› Downloads.)
  • Download the Polling plugin if you plan on asking polling questions during your webinars. (Found under Support -› Downloads.)
  • Download the Recording plugin if you plan on recording your webinars. (Found under Support -› Downloads.)

Get to Know the WebEx® Software


  • Have a solid high-speed connection and a backup Internet connection.


  • Have a reliable computer to use and a backup computer.
  • Make sure that all software, drivers, Windows Updates and plug-ins needed are installed on both the primary and backup computers.
  • Make sure computers are fully charged and can run from battery power if necessary.

  • If using a phone for Audio, make sure your phone is reliable and you have a backup phone.
  • A hands-free headset is preferable.
  • Make sure your headset is fully charged and functional.
  • Don’t use the microphone on your computer.

Handouts and Training Materials

  • E-mail all meeting or training handouts, including the agenda to participants and attach them to your WebEx® invitation. View Sample Session Planner Tool.

Facilitator Support

  • Complete the form if you’d like someone from OED to host your webinar while you present.
  • Have a backup producer and facilitator who can take over if either of you aren’t able to attend the event.

Know Your Audience

  • Find out beforehand if any of your participants will need closed-captioning or any other kind of accessibility support.
